On behalf of our client, Highbury Asset Management Inc. we are searching for a capable and detail-oriented part-time Corporate Legal Assistant in Victoria, BC, to manage their core corporate, legal-administrative, and property administration functions across their diverse group of privately held companies, trusts, and real estate assets. This is a part-time 24-32 hours per week opportunity (with future full-time potential).

Compensation is $35.00 – $40.00 per hour commensurate with experience and qualifications. This range reflects local Victoria market rates for experienced corporate administrators and legal-administrative professionals and recognizes the responsibility associated with managing corporate records, regulatory filings, leases, and multi-entity administration.

Key Responsibilities Include:
Corporate Records, Governance and Regulatory Compliance
- Maintain and administer corporate and trust records, including minute books, resolutions, annual reports, statutory filings, transparency registers, and historical schedules related to dividends, loans, and trust distributions; coordinate incorporations, trust formations, reorganizations, and execution of governance documents.
- Manage regulatory filings and reporting through provincial systems, administer Land Title records, monitor related accounts, and coordinate required filings for regulated entities.
Lease, Property, and Tax Administration
- Prepare and administer commercial and residential leases, renewals, notices, rent increases, tenancy matters, purchase and sale agreements, and insurance renewals, while tracking key terms and critical dates.
- Maintain property tax schedules, review assessment notices, support appeal analysis, and track assessed values and tax obligations.
Records and Administrative Support
- Maintain organized physical and electronic records, oversee retention and secure destruction, and coordinate information flow to accounting to support accurate recording and reconciliation, including limited trust accounting administration.

Are you our ideal Corporate Legal Assistant?
- Proven experience in corporate legal administration, governance support, or paralegal roles.
- Experience with BC Online, Land Titles, or similar registry systems (or can learn quickly) and you are comfortable managing complex records across multiple entities.
- Proficient with core business software, including Microsoft Office (Word, Excel, Outlook), Microsoft Teams, and experience using corporate records and minute book management software (for example, MinuteBox or similar platforms).
- Highly organized, methodical, and detail-oriented and understands the importance of confidentiality, accuracy, and compliance.
- Works well independently, follows established processes, and values stability, structure, and long-term contribution over variety or visibility.
- Comfortable interacting with lawyers, accountants, regulators, and internal stakeholders.
