Our client, internationally recognized ViVitro Labs, has a new opportunity in Victoria, BC, for a customer focused Sales Support Specialist. Reporting to the Operations Manager, as Sales Support Specialist you will be the central point of contact, supporting the achievement of sales targets through your sales and accounting coordination. - Competitive compensation includes a base salary of $46,400 – 58,000 and you are eligible for variable compensation. Employees are also eligible to earn profit sharing.

What your day as Sales Support Specialist may include:
- Manage customer communications regarding order processing, keeping the client up to date on timelines and communicating unforeseen delays
- Maintain the administration of client information in our ERP (SYSPRO) and CRM (Salesforce) systems
- Process customer orders (from purchase order entry through deposit invoicing, packing documentation, and accounts receivable follow-up) ensuring accuracy and timely delivery.
- Coordinate order shipments and customer invoices while working closely with Manufacturing to provide visibility into sales forecast
- Conduct post shipment follow up to ensure customer satisfaction
- Maintain and report on order KPI’s
- Manage inventory of ViVitro promotional merchandise
- Create, update and maintain documents within the Quality Management System (QMS) to ensure accuracy, consistency and compliance with quality standards
- Complete monthly reporting requirements accurately and on time
- Assist senior management and sales representatives with any additional projects as required
Our ideal Sales Support Specialist candidate brings:
- Certificate/Diploma in business administration is preferred or an equivalent combination of education and experience
- Minimum of 3+ years of experience in an office environment, and prior experience in a sales support role is highly beneficial
- High level of organizational skills, attention to detail and problem-solving skills with the ability to prioritize a multitude of tasks
- Experience with ERP and CRM systems is required (with SYSPRO and Salesforce preferred)
- Proficiency with Microsoft Office programs (Excel & Word)

- Ability to quickly learn, understand, and manage the full order processing workflow (PO, SO, packing slip, monitoring inventory, invoicing) within SYSPRO.
- Demonstrated ability to manage customers effectively and efficiently, and to seek resolutions to any customer related issues
- Excellent interpersonal skills and ability to communicate effectively with all team members and customers
- Ability to work independently with minimum supervision.
